Xero items (the parts list)

Use your Xero items as the parts list, read one way from Xero.

When to use

  • Your parts and their prices are kept up to date in Xero.
  • You want the parts list to follow Xero.

An Owner chooses this on Parts, then Markups. Office and Owner can sync and see items to tidy up.

Overview

When the parts list source is Xero items, Xero is the master for each part’s code, description, cost (purchase price) and sell price (sales price). WSManager keeps the category, supplier, markup, unit and active setting. Items are read every 30 minutes, and in full once a day.

Key features

  • Read only parts. A Xero part shows a note to edit it in Xero.
  • Sync from Xero now on the Parts page and on Settings, Xero.
  • Cost. The item’s purchase price. If it has none, the cost is shown as not known.
  • Sell price. The item’s sales price. If it has none, the markup prices the part.
  • Items to tidy up in Xero. A list on the Parts page and on Settings, Xero shows items with no code, a code over 60 characters, a duplicate code, a blank name, or neither price. Items with no code or a code that is too long are not brought in.
  • Deleted or archived items become inactive in WSManager. Jobs that used them keep them.
  • Switching source. A preview shows how many items there are, how many existing parts are taken over by an item with the same code, how many new parts are made, and how many parts have no item and are made inactive. Nothing is deleted. Switching is recorded in the audit log.

Tips & gotchas

  • You cannot import a spreadsheet while Xero is the source. Export still works.
  • Oils sold per litre often have no purchase price in Xero. Their cost shows as not known until you add one.
  • A refused switch means Xero is not connected or has no items.
