The shared workshop PC
A PC or tablet on the workshop floor where anyone can look at the board and jobs, and staff pick their name and enter a PIN to clock on.
When to use
- You do not have WSManager on your own phone.
- You are in the workshop and want to clock on, switch job or clock off at the board.
- An Owner is setting up a workshop PC.
Overview
The shared PC has its own sign-in as a shared device. It is signed in once and stays signed in. Anyone can use its view only screens. To record anything, you pick your name and enter your PIN. Everything you do is recorded against you, and the audit log also notes which device it was done on.
Key features
Without a PIN (view only)
- Workshop board: who is clocked on now, what they are doing and since when.
- Job dashboard and job board, read only. Open a job or an asset’s service history to look up past work. Nothing can be changed.
- Job cards and checklists to print. They show no prices.
With your name and PIN
- Clock on, clock off, travel and switch job. Breaks are not clocked: they come from your work calendar.
- Enter a forgotten finish time.
- Start work on a job or mark work finished.
- Add a part, request a part to order, or add a note to a job.
Never on a shared PC
Approving timesheets, payroll, supplier bills, receiving parts, costs and settings are never available on a shared device, even with an Owner’s PIN. Use your own sign-in for those.
How to: clock on at the shared PC
- On the Workshop board, select Clock on.
- On Who are you?, find your name. People already clocked on are listed first under Clocked on now. Use Search for your name if the list is long.
- Select your name and enter your PIN on the keypad. Select OK.
- The page shows Acting as and your name across the top. Select Clock on, then pick a job if you want to.
- When you finish, select Done. The board also returns by itself after a few seconds, or after the idle time set by your Owner.
How to: switch job or clock off
- On the board, select I’m …, then your name and PIN.
- Choose Switch job, Travel or Clock off.
- Select Done.
You can clock on at the PC and clock off on your phone, or the other way round. It is one shift.
How to: set your PIN
- Sign in on your own phone or computer.
- On the Clock page, select My PIN.
- Enter a PIN of 4 to 6 digits twice, then select Save PIN.
If an Owner gave you a temporary PIN, the PC asks you to choose your own the first time you use it.
How to: add a shared device (Owner)
- Go to Settings, then Shared devices, then Add shared device.
- Enter a Name (for example Workshop PC), a Username and a Password of at least 10 characters.
- On the PC, go to the sign-in page and select Signing in a shared workshop PC?. Enter the device username and password once.
Tips & gotchas
- Only people who record time and have a PIN appear in the name picker.
- Five wrong PINs lock your PIN on every shared device for 15 minutes. An Owner can unlock it on your staff record.
- Timing out never stops a running clock.
- If you are on leave today, the Clock page asks you to confirm that you are working. Your approver sees this.
- Notifications are personal. They do not show on the shared PC.
