Job numbers

The prefix and next number that new jobs get. Reset the numbering when you need to.

When to use

  • You are setting up your numbering for the first time.
  • You want to start a new series, for example at the start of the year.

Only Owners can change job numbers.

Overview

Each new job gets the next number, with the prefix in front if there is one. For example, no prefix gives 27001, and a prefix of J- gives J-27001. A number is never used twice. The page says what the next job will be and the highest number used so far with the current prefix.

Key features

  • Prefix (optional) and Next number. Changes take effect straight away and are recorded in the audit log.
  • No clashes. The next number must be above every number already used with the same prefix.
  • Schedule a reset. Switch to a new number on a date, for example 28000 from 1 January 2028. Nothing runs in the background: the first job created on or after the date switches the numbers. It is checked again then, and not applied if it would clash.
  • The job’s Xero tracking option is named with the job number as displayed.

How to: change the next number

  1. Go to Settings, then Job numbers.
  2. Under Change the next number, enter a Prefix (optional) and the Next number.
  3. Select Save.

How to: schedule a reset

  1. Under Schedule a reset, enter Switch to number and From (NZ date).
  2. Select Schedule reset. Select Change the scheduled reset or Clear the scheduled reset later if you need to.

Tips & gotchas

  • You cannot reuse a number. If the new number would run into old ones, the change is refused.
  • Jobs imported from Xero keep their own numbers.
