Assets and service history
The trucks, machines, boats and other equipment you work on. Each asset keeps its meter readings, its next service due and its whole service history, even if it changes owner.
When to use
- You are adding a customer’s truck, machine or boat.
- You want to record or check a meter reading, or the next service due.
- A customer sells an asset and the new owner becomes your customer.
- You want everything that has ever been done on one asset.
Overview
An asset belongs to one customer at a time. Open it from the customer page, or from the job page. The asset page has its details, Next service due, Meter readings, Owner history and a Transfer to another customer form. Service history and New job buttons sit at the top.
Key features
Details by type
When you add an asset, first choose what kind it is (Truck, Machine, Boat or Other). The form then asks for the details that belong to that kind.
- Always: Description, Make, Model, Year.
- Trucks: Registration (plate), Fleet number (the customer’s), VIN / chassis number, CoF expiry, WOF expiry, RUC licence to (km).
- Machines: Serial number / PIN, Fleet number.
- Boats: Vessel name, Hull ID (HIN), and Engine make, model and serial (give both engines on a twin).
- Meter: Kilometres, Hours, Kilometres and hours or No meter.
- Service interval (km) and Service interval (hours).
- Notes and Active.
CoF, WOF and RUC details are for your reference. WSManager does not send reminders.
Meter readings
Add a reading with Reading, Unit and Date. If it is lower than the last reading, a warning offers Save anyway. A reading is also recorded when you set Meter in on a job and Meter out when work is finished.
Next service due
Record the next service as a km, hours and/or a date, with a Service type such as A service or C service. Set it on the asset page with Set next service due or Change next service due, or when you finish work on a job. Earlier entries are kept in the history. The latest shows on the asset, the job page and the job card.
Owner history and transfer
Under Transfer to another customer, choose the New owner, the Effective date and a Note, then select Transfer. The asset keeps its meter readings and service history. Past jobs keep the customer they were done for. Open jobs stay with the old owner.
Service history
Service history lists every job on the asset, across all owners, newest first: date, job, status, the customer at the time and the work. Jobs for a previous owner are shaded. It also shows the owner history and all meter readings. Technicians see it without prices, and the shared workshop PC can open it read only.
How to: add an asset
- Open the customer and select Add asset.
- Choose the type.
- Fill in the details and select Add asset.
How to: transfer an asset
- Open the asset and go to Transfer to another customer.
- Choose the New owner and Effective date. Add a Note such as “Sold to…”.
- Select Transfer and confirm.
Tips & gotchas
- The service history is visible to your staff only. Customers never see WSManager.
- A job list on the asset covers all owners, so you can see what a previous owner had done.
- Change the Meter setting on an asset before recording readings. An asset with no meter cannot take readings.
