Bills and purchase orders from Xero
WSManager reads supplier bills, supplier credit notes and purchase orders from Xero so their costs can be put on jobs.
When to use
- You want to know what comes in from Xero and when.
- Nothing is appearing in the supplier bills inbox.
You link the lines on Supplier bills. An Owner chooses what comes in on Settings, then Xero.
Overview
You keep raising purchase orders and entering bills in Xero as you do now. WSManager only reads them. It never creates or sends a purchase order.
Key features
- What comes in: supplier bills, supplier credit notes and purchase orders dated on or after the Bills start date, but only lines on the Job cost accounts you chose.
- When: every 30 minutes, or straight away with Check Xero now.
- Only changes are fetched. WSManager asks Xero only for documents changed since the last check.
- Changes in Xero after you link a line, such as a new amount, a voided or a deleted document, are picked up and flagged on the job.
- Cost basis. A part on a job takes its cost from the bill, else the purchase order, else your estimate.
- Not set up yet. The inbox says nothing is read from Xero until an Owner chooses the job cost accounts and bills start date.
How to: get bills coming in
- Go to Settings, then Xero.
- Choose the Job cost accounts and the Bills start date.
- Select Save.
- Open the supplier bills inbox and select Check Xero now.
Tips & gotchas
- Coding a bill line to a job’s tracking option in Xero is the most reliable way to have it matched.
- Lines on overhead accounts are skipped on purpose.
- The Parts to order and Parts receiving pages show how many unlinked lines there are from each supplier.
