Parts receiving

Tick off ordered parts as they arrive, in full or delivery by delivery.

When to use

  • A delivery arrives at the workshop.
  • You want to see what is still to come.

Technicians, Supervisors, Office and Owners can receive parts, on their own sign-in. The shared workshop PC cannot.

Overview

Open Parts, then Receiving. The page says how many parts are still to arrive. Ordered parts are grouped by supplier. Each row shows the job, the part, Ordered quantity, Received so far, Supplier ref, PO, and Expected date, with overdue ones first.

Key features

  • Received takes everything still to come.
  • Part delivery takes a quantity above zero and no more than is still to come. The part stays Ordered until the full quantity has arrived.
  • Notifications. When a part arrives, the people booked on the job who record time get a notification, for example “The 2 x fuel filters for J-10231 have arrived”. For a part delivery it says how many of the total.
  • Job status offer. If it was the job’s last outstanding part, you are offered In progress.
  • Unlinked Xero lines for a supplier are noted under its name.
  • A button leads back to Parts to order.

How to: receive a whole order

  1. Open Parts, then Receiving.
  2. Find the part and select Received.
  3. If a banner offers to move the job to In progress, select Move.

How to: receive part of an order

  1. Enter the quantity that arrived beside the part.
  2. Select Part delivery.

Tips & gotchas

  • Received parts can be received whatever the job’s status.
  • Matching a bill from Xero to a part also marks it received. See Supplier bills.
  • The quantity of an ordered part cannot be lowered below what has arrived.
