Bookings

A week view of who is booked on which job each day. Drag a job onto a day to book it.

When to use

  • You plan who does what this week.
  • A job is waiting for a date.
  • You need to move or remove a booking.

Supervisors, Office and Owners use Bookings.

Overview

Rows are staff members. Columns are the days of the week. Each cell lists that person’s booked jobs with their hours, and the day’s total. The top row, Unbooked, holds open jobs waiting for a date.

The header has Previous week, Next week, This week and New job. A colour key shows the job statuses.

Key features

  • Drag to book or move. Drag a job from Unbooked onto a person’s day to book it. Drag a booking to another day or person to move it. The page tells you if something needs checking.
  • Click to edit. Select a booking to open its form.
  • Plain form as a fallback. Every booking can also be added or changed on a form, so the page works without dragging.
  • Day totals. A cell turns amber when someone is booked for more than your workshop’s limit in a day. The total then says how far over it is. Owners set the limit under Workshop settings.
  • Leave and public holidays. A person’s day is shaded when they are on approved leave, there is a public holiday, or the workshop is closed. Booking them asks you to confirm.
  • Parts warning. A small parts icon on a booking means the job has ordered parts not received by that day. The warning says how many, and when the last is expected.
  • Warnings never block. You can always book anyway.

How to: book a job

  1. Open Bookings.
  2. Drag the job from Unbooked onto the person’s day.
  3. If a warning appears (leave, a public holiday, too many hours, or parts not here), confirm that you want to book anyway.

How to: use the booking form

  1. Select a booking, or on the job page choose Add booking.
  2. Enter the Date, choose the Person, and optionally a Start time (optional) and Hours (optional), in quarter-hours up to 24.
  3. If the page shows Check before booking, tick Book anyway to go ahead.
  4. Select Add booking or Save.

How to: remove a booking

Open the booking and select Remove, then confirm. You can also remove it from the Bookings section of the job page.

Tips & gotchas

  • A job that is finished or cancelled cannot have bookings added or changed. Reopen it first.
  • Staff who do not record time are marked not recording time.
  • Owners can see how many hours trigger the amber warning on Workshop settings.
  • The link /diary used to be the address for this page. It now redirects here.
