Leave

Decide leave requests, enter leave for someone, and see who is away on the leave calendar.

When to use

  • A staff member has applied for leave and you need to approve or decline it.
  • Someone rings in sick and you want to enter their leave.
  • You want to see who is away and when the public holidays fall.

Supervisors and Owners decide leave. Office can see the page but not approve or change leave. You cannot decide your own leave unless you are an Owner.

Overview

The Leave page has two parts. First, Leave requests waiting, with Approve and Decline buttons. Then a month calendar of who is away, with public holidays and workshop closures. Use the month arrows to move around.

When leave is approved, leave days go on the person’s timesheet for each of their working days in the range, at their work calendar’s standard hours. Public holidays and non-working days are skipped.

Key features

  • Calendar key: Away (approved), Requested, Public holiday and Workshop closure.
  • Part days. A single day can be a part day, entered in hours.
  • Overlaps. Overlapping leave for the same person is refused.
  • Notifications. Approvers are notified when someone applies. The staff member is notified when their leave is approved, declined or cancelled, with your note.
  • Public holidays. The New Zealand public holidays are built in and calculated each year, with the official Matariki dates and your region’s anniversary day. A weekend holiday moves to the Monday (or Tuesday) only for people who do not normally work that day.
  • Working on leave. If someone clocks on during approved leave, WSManager asks them to confirm. It records the time and flags the day for you.
  • Balances. WSManager does not show leave balances. Staff check them in the payroll system.

How to: approve or decline a request

  1. Open Leave.
  2. Under Leave requests waiting, optionally type a Note for the person.
  3. Select Approve or Decline.

You can also open the request to see its leave days, set the hours on one day (Set hours), or see its history.

How to: enter leave for someone

  1. On Leave, select Enter leave for someone.
  2. Choose the Staff member, Leave type, First day and Last day. For a part day, enter the hours under Part of a day: hours.
  3. Select Check days to see the working days and hours first.
  4. Save. The leave is approved as you enter it, the days go straight on their timesheet, and they are told.

How to: change or cancel approved leave

  1. Open the request from the calendar or the list.
  2. To change it, edit the type, dates or hours. The leave days are made again from the person’s work calendar.
  3. To cancel, enter an optional Reason (shown to them) and select Cancel this leave.

Once the leave days have been exported to payroll, they are locked. An Owner can reopen the pay period’s export to change them.

Tips & gotchas

  • Decisions are recorded in the request’s history.
  • Workshop closure days are only a marker. Staff apply for annual leave to cover them.
  • Leave types and pay codes are set on Leave types settings.
