XeroWhat syncs and when

Xero

WSManager keeps your customers in step with Xero, gives each job a tracking option, reads your parts list from Xero items, and reads supplier bills and purchase orders so their costs land on jobs.

When to use

  • You are connecting WSManager to your Xero organisation.
  • You want to know what moves between the two, and when.

Xero is your accounting system. WSManager does not hold a ledger. Only Owners set up the Xero connection.

WSManager sends Xero only what it needs: a customer’s name, email, phone, mobile and addresses, and a job’s number as a tracking option name. It does not send notes, labour rates, contacts, assets or costs.

Key features

  • Connection status on Settings, then Xero: Connected, Needs reconnecting or Not connected.
  • A banner for Owners and Office when Xero needs reconnecting, syncing has failed for over two hours, or the limit of active tracking options is reached.
  • Nothing is lost if Xero is down. Changes for Xero wait and are sent when it is back. The rest of WSManager keeps working.
  • Recent changes sent to Xero lists what WSManager has sent, with the result.

How to: set up Xero

  1. Connect to Xero.
  2. Choose the account and tax mappings and the job tracking category.
  3. Link or import your customers.
  4. Choose the parts list source if you want Xero items.
  5. Choose job cost accounts and a start date so supplier bills come in.

Tips & gotchas

  • Invoicing from a job to Xero is not part of this release.
  • A banner telling you to reconnect is not a loss of data. Reconnect and carry on.
