Payroll settings
Pay periods, the pay day, and the pay codes the payroll export uses.
When to use
- You are setting up payroll for the first time.
- You change from weekly to fortnightly pay.
- You are told a pay code has no export code.
Only Owners can change these. WSManager exports approved hours, leave days and public holidays. Rates, pay, tax and leave balances stay in your payroll system.
Overview
The Payroll settings page has links to the payroll export, Time settings, Leave types, Public holidays and Work calendars. Below are the pay period settings, a Public holidays option, and the Pay codes table.
Key features
- Pay is run: Weekly or Fortnightly.
- A pay period ends on a weekday. For fortnightly pay, Fortnightly: one period ends on gives any end date, so WSManager knows which weeks pair up.
- Pay day. The day staff are paid.
- Export public holidays not worked. A public holiday on someone’s working day that they did not work goes in the file under the public holiday code, at their work calendar’s hours. Turn it off if your payroll system adds public holidays itself. Hours worked on a public holiday always export under Public holiday worked.
- Pay codes. The export code and rate suffix for each pay code, and whether it is in use. Worked hours export as Ordinary, or Public holiday worked on a public holiday. Leave days export under their leave type’s code. These are common codes for your payroll system. Check them with your payroll provider before the first export.
- Each staff member’s payroll employee code is on their staff record.
How to: set the pay period
- Go to Settings, then Payroll.
- Choose how often Pay is run and the day a pay period ends.
- For fortnightly pay, enter one end date.
- Select Save.
Tips & gotchas
- If you change the pay schedule, the next export leaves out anything an earlier period’s export already holds. A warning tells you how many items.
- A staff member with hours but no payroll employee code blocks the export.
