Connecting Xero

Connect WSManager to your Xero organisation once, then choose the accounts and settings it uses.

When to use

You are setting up WSManager.
The page says Xero Needs reconnecting.

Only Owners can connect Xero.

Overview

Connecting uses Xero’s own consent screen. WSManager asks for access to contacts, invoices and purchase orders, settings (accounts, tax rates, tracking categories) and payments (read only). The connection stays until it is disconnected or expires.

If the page says Xero isn’t configured on this server, FSM Developments has not yet set up the Xero app for your system. Nothing can connect until it has.

Key features

Connect to Xero, Reconnect and Disconnect. Disconnecting stops syncing. Nothing already in Xero is changed.
Which organisation. If Xero connected more than one organisation, you are asked which one is this workshop’s.
Mappings and settings, loaded live from Xero:
- Labour sales account: labour and travel lines.
- Parts sales account: parts-list lines that are not Xero items.
- Ordered components sales account.
- Sundries sales account.
- Output tax type (GST on sales).
- Job cost accounts: which bill and purchase order lines come into the supplier bills inbox. Overheads such as power and rent do not.
- Job tracking category.
- Archive a job’s option this many days after Complete.
- Invoice status on send and Branding theme (optional). These are for when invoices are sent to Xero in a later release.
- Bills start date. Bills and purchase orders dated on or after this come into the inbox.
Recent changes sent to Xero lists what has been sent and whether it worked.

How to: connect

Go to Settings, then Xero.
Select Connect to Xero.
Sign in to Xero and allow WSManager.
If asked which organisation, choose yours and select Use this organisation.
Back on Settings, Xero, choose the mappings and select Save.

How to: reconnect

If a banner says Xero needs reconnecting, go to Settings, then Xero, and select Reconnect. Nothing already in Xero is changed.

Tips & gotchas

The account and tax lists come live from Xero, so they cannot be changed while Xero is unreachable.
