Customers and Xero

Customers are linked to Xero contacts and kept in step both ways.

When to use

You link existing customers to their Xero contacts.
You bring Xero contacts in as customers.
A customer shows Differs from Xero.

Owners set up the links in bulk. Supervisors, Office and Owners can link one customer from its page.

Overview

A customer created in WSManager is created in Xero. Edits you make in WSManager are sent to Xero. Changes made in Xero are brought into WSManager. If a customer has been changed in both places, nothing is overwritten and you choose.

The Customers tiles on Settings, then Xero show how many customers you have, how many are linked, not linked, differ from Xero, and how many changes are waiting to go to Xero.

Key features

Link to it. If Xero already has a contact with the same name, link to it instead of making a duplicate.
Search Xero contacts and Link, or Create in Xero.
Refresh from Xero, Open in Xero and Unlink.
Link customers by name (Owner) links every unlinked customer whose name matches exactly one Xero contact, ignoring capitals and spaces. The result lists each customer and what happened. Several or no matches are left for you.
Import customers from Xero (Owner) lists Xero contacts not yet linked to a customer. Tick the ones to bring in and select Import ticked contacts. Each becomes a customer linked to its contact. Search by name, and tick Only contacts Xero marks as customers to narrow the list. Xero marks a contact as a customer only after it has an invoice, so a new customer may not be flagged.
Differs from Xero. The customer shows both sides in a table. Choose Keep WSManager’s or Take Xero’s.
Queued while disconnected. A change that cannot reach Xero waits and is retried.
Suppliers stay in Xero only.

How to: link a customer

Open the customer and go to Xero.
Select Link to Xero contact if one with the same name is offered, or search under Search Xero contacts and select Link.
Or select Create in Xero.

How to: import customers from Xero

Go to Settings, then Import customers from Xero.
Search if you need to, and tick the contacts.
Select Import ticked contacts.

Tips & gotchas

Xero does not allow two contacts with the same name.
Only name, email, phone, mobile and addresses go to Xero. Notes, contacts, labour rate and the order number flag stay in WSManager.
A blank field you clear in WSManager is cleared in Xero too.
