Work calendars

Which weekdays people normally work, their hours, and their breaks.

When to use

  • You set up a new staff member whose hours differ from the workshop’s.
  • You change a break time.

Only Owners can change work calendars.

Overview

A work calendar is a weekly pattern. For each weekday it records whether it is a working day, the start and finish, and the breaks. Each staff member uses the workshop default unless their staff record says otherwise.

A calendar is not a roster. It places leave days and public holidays, decides whether a weekend public holiday moves to the Monday for a person, and gives the breaks that are taken in each shift.

The Work calendars page lists each calendar with its working days and hours, the active staff on it, and status.

Key features

  • Working day, Start and Finish for each weekday.
  • Standard hours for a day are finish minus start minus its unpaid breaks. A whole leave day and a public holiday are that many hours.
  • Breaks. Each day can have breaks, each with a start time, a length in minutes and a Paid tick. Breaks are taken automatically in every shift on that day, and an approver can mark one as not taken. Add or remove a break here to change it.
  • The workshop default is used by staff without a calendar of their own.
  • Active. Inactive calendars are not offered on staff records.

How to: add a calendar

  1. Go to Settings, then Work calendars, then Add calendar.
  2. Enter a Name, for example Workshop Mon-Fri.
  3. For each weekday, tick Working day and set Start, Finish and any breaks.
  4. Tick The workshop default if it should be the default.
  5. Select Add calendar.

How to: put someone on a calendar

Open their staff record and choose a Work calendar.

Tips & gotchas

  • Start and finish are not used for anything other than working out the standard hours and where breaks fall.
  • A person who works Saturdays gets a Saturday public holiday on the Saturday, not the Monday.
