Clock
Clock on when you start work, say which job you are on, switch jobs as you go, and clock off at the end of the day.
When to use
- You record time against jobs.
- You are travelling to or between field jobs.
- You forgot to clock off yesterday.
The Clock page is the first page people who record time see after signing in. If it says You’re not set up to record time, ask an Owner to tick Records time on your staff record.
Overview
Your day is one shift, from clock on to clock off. A shift is made of time entries. Each entry is one of:
- Labour on a job.
- Travel on a job, with an optional vehicle and km.
- Not on a job, an activity such as workshop cleaning or training.
- A break, which comes from your work calendar.
Time with nothing picked is unallocated. It is shown as such and never hidden.
You work on one job at a time. Switching job ends the entry you were on and starts the next.
Key features
- Server time. Clock times come from the server’s clock in New Zealand time, to the minute, not from your phone.
- Booked for you today. Jobs booked on you appear on the Clock page and on the pick-a-job page.
- Breaks are automatic. Breaks come from your work calendar. They are taken automatically when you clock on, and an approver can mark one as not taken.
- Leave check. If you clock on during approved leave, WSManager asks you to confirm that you are working. It records your time and flags the day for your approver.
- Double clock on. If you tap twice, or clock on from two devices, the second does nothing and shows your open shift.
- Undo clock off. Clocked off by mistake? Undo clock off appears on the Clock page for the rest of the day, if nothing has changed since.
- Find a job. Search by job number, rego or fleet number from the bottom of the Clock page.
How to: clock on and pick a job
- Open Clock.
- Select Clock on.
- Under Booked for you today, tap a job, or search for one. You can also choose a Not on a job activity.
- The page shows the job, the customer and the asset, and how long you have been on it.
If you skip picking a job, the time is unallocated until you pick one. Use Skip for now on the pick page.
How to: switch job
- Select Switch job.
- Choose Labour or Travel at the top.
- Tap a job from Booked for you today, Recent or Found, or an activity under Not on a job.
How to: record travel
- Select Travel, or choose Travel on the pick-a-job page.
- Optionally choose the Vehicle and enter the Km. You can add them later on the entry.
- Tap the job you are travelling to.
- When you arrive, switch to Labour on the same job.
The vehicle list comes from your workshop’s mileage rates.
How to: allocate unallocated time
- On the Clock page or Clock off, find the row marked Unallocated.
- Select Allocate.
- Choose the job or activity you were on for that time.
How to: clock off
- Select Clock off.
- Check Today’s entries. The page shows paid hours, unpaid breaks and hours on jobs.
- If a warning says time is unallocated, allocate it above, or leave it with a Note.
- If you worked a very long shift, tick the confirmation that it is right. A shift this long is usually a forgotten clock off.
- Select Confirm clock off.
How to: enter a forgotten finish time
If you did not clock off, the Clock page asks What time did you finish? when you next open it.
- Enter Finished on and Finish time.
- Select Save finish time.
- Clock on for today as usual.
The shift closes at the time you enter, never at the time you correct it. Your approver sees that the finish time was entered later. If you do not open WSManager, the shift stays open and your approver enters the finish time for you.
A shift that runs past midnight belongs to the day it started. It only counts as forgotten once it is open, its day is over, and it is 4:00 am or later.
Tips & gotchas
- Time you correct after the day is over needs a reason, and your approver sees the shift was edited.
- Approved shifts cannot be changed by you. Ask your approver.
- You cannot set times in the future, and entries cannot overlap.
- On the shared workshop PC, pick your name and PIN first. See the shared workshop PC.
