Time settings

How clocking on, recording time, the shared workshop PC and payroll hours behave.

When to use

  • You are setting up time recording.
  • You want to change when a shift is flagged, or turn on rounding.

Only Owners can change these.

Overview

The Time settings page has links to Activities, Mileage rates and Payroll settings, then the settings below.

Key features

  • Unallocated tolerance (minutes). More unallocated time than this in a shift is pointed out at clock off and flagged for the approver.
  • Shared PC: back to the board after (seconds idle). After someone enters their PIN, the shared PC acts as them until they select Done or leave it this long.
  • Ask to confirm a shift over (hours). Clocking off a longer shift asks “are you sure?”. It is usually a forgotten clock off.
  • Flag a long shift over (hours). Flagged Long shift for the approver.
  • Flag no break after (hours). A longer shift with no break recorded is flagged No break.
  • Rounding for payroll. Off by default. When on, payroll uses rounded clock times. The raw times are always kept and the shift shows both. For clock on and clock off separately, choose the interval in minutes, the direction (Nearest, Up or Down) and a grace period. The grace period is checked first, in the worker’s favour: a clock on within it after a boundary rounds down to the boundary, and a clock off within it before a boundary rounds up. Approved shifts keep the figures they were approved with.
  • Automatic unpaid break. Off by default. When on, a shift over the hours you set with no unpaid break recorded has the break deducted from its paid hours.

Breaks from work calendars are separate from this automatic deduction.

How to: change a setting

  1. Go to Settings, then Time settings.
  2. Change the values.
  3. Select Save.

Tips & gotchas

  • Leave rounding off unless your payroll system needs it.
  • Approvers see the flags on Timesheets.
